License Renewal Registration System
This walkthrough is intended to be more of a guide on "general advice & pointers" as the overall function of the MYREG system is very quick and easy to use. If you're here then you've already signed-in with Partner credentials issued to you by MYREG support staff. You might also be here under a demo or temp account credentials. ________________________________________________ ** Before running through the few steps involved with registering a license and setting a renewal follow-up, please keep in mind: You were supplied login credentials and were not required to complete any type of registration process - Reason being; Security. Each MYREG Partner account is setup internally which means, if you have login credentials your Partner information is already in our system and your company and contact details are set in your MYREG account. Once you login and start using the system the email address associated with your account will receive an emailed notification on each and every renewal reminder you set. Your credentials can be changed or verified by phone or email anytime. If emailing in questions relating to account credentials please be aware that account details and/or changes can only be requested from the email and the individual associated to that MYREG Partner account. Similarly, all replies will be made to the email account on file. > Because of this, if it is your personal/company email that is on your MYREG account, you may want to have this changed to an alternate email that can be used specifically to receive all renewal notifications. (i.e.- my_email@123company.com changed to client_renewals@123company.com ). This will create one central account used to track and file all client renewal notifications. Doing this will also stop renewal notifications from trickling into your main account and mixing with your day-to-day communications. -If you are unsure or have any questions pertaining to your account please call in anytime to verify. Email: support@myReg.com Phone: (888) 740-2207 EXT 103 Registering a License & Setting Your Client Renewal Reminder The MYREG system is designed to be used "on the fly", therefore basic function and layout has been kept very simple. After entering the MYREG system through the main Log In screen you're taken directly to the Registered Licenses main panel. License Panel main functions: - Add/Register a new license by clicking on the "Add New" button you'll be taken to the "Add New [License]" page where you'll be able to add license details and set your renewal reminder. - Review or Search for an existing registered license As your Renewal data base grows you'll be able to search for specific accounts, manage and recall individual client license details. - Edit an existing registered license Keep your data base up-to-date by going back in anytime to edit and update existing license renewals, Or remove old and expired licensing details. ? | Clicking on the "Licenses" link in the top menu will get you back to the Registered Licenses main panel from any other area when signed into MYREG. (fig.1a) Add/Register a New Licence Adding a new license and setting its renewal reminder is quick and easy. From the main Registered Licenses panel, click on the "Add New" button to open a new license entry. (fig.1b) Fig.2a shows a blank/new License form: A License registration form is made up of 7 key fields - " *Active " - By default the Active option is set to Yes. Setting a License entry to "No" will disable the any renewal date reminders set and will remove that entry from being displayed. This entry still remains as part of your active database and is not permanently removed. Any deactivated license entries can be reactivated anytime by notifying MYREG support. " *E-mail Customer Renewal " - By default this option is set to Yes. Again, the primary goal here is to alert your client before the software does. As a fail-safe, if you were to miss your contact date with a particular client, the system will send out a general emailed renewal reminder alerting your client to their upcoming renewal and to contact you as soon as possible. ? | By default the MYREG system will always send a renewal reminder email out to the main email on that MYREG user account whether the "E-Mail Customer Renewal" checkbox is selected or not. Simply put - selecting the "E-Mail Customer Renewal" checkbox will include your client in on the emailed renewal reminder which means you and your client will receive the reminders. Choosing not to select the "E-Mail Customer Renewal" checkbox will only send the reminder to you. **e-Renewals** Alternatively, as an add-on service to MYREG - if you choose to have your client receive an emailed copy of their renewal reminder, you can also choose to include a link to an online renewals cart. Once the client receives their renewal reminder they'll have the option to click through to the online renewals area and complete the purchase of their renewal themselves. Optionally the client can also be given the choice to upgrade or purchase additional licensing at that time should they choose. - more information or questions about the e-Renewals service can be requested at: e-renewals@myReg.com " Company Name " - Clients Company name belongs here, Or personal name if dealing with an individual. When dealing with a Company key contacts can be listed below in the Comment field. " Follow Up " - The type of licensing you're dealing with will determine the Follow Up date that you set. The pre-sets you see labelled 1month & 3month were created to accommodate licensing periods typically associated with software "trial" periods however some products and services may have recurring monthly renewal or services charges that MYREG can also be used to track. - The 1, 2, and 3 year pre-sets are the most important as the longer a license period goes on the greater the likelihood that renewal periods will be missed or future contact with client forgotten altogether. ? | Setting a custom reminder for a license renewal period different from the 1, 2, and 3 year pre-sets can be done by clicking on the Calendar button and setting your date manually. Don't forget, 1 and 3 month pre-sets can be used for Trial or Temporary license terms. (fig.2b) Each of the pre-sets are set to send out the renewal reminder anywhere from a few weeks to a few months before the licensing term expires depending on the pre-set chosen (i.e. 1 year preset will email its renewal reminder(s) approximately 1.5 - 2 months before the full 1year licensing term expires). Most manufactures know the longer a licensing period the more important contact is with the client regarding renewal. The MYREG system is pre-set to remind you and/or your client before the manufacturer. Experience has shown that a friendly renewal reminder at the hands of a local reseller is a much more positive experience for the client than receiving an automated "pop-up" reminder from the manufacturer - …yet 55% of all software renewed by the enduser/client is purchased directly from the manufacturer. " Phone & Email " - Clients contact phone and email belongs here. If the client information entered here is a "one-off" detail and not entered into a secondary contact management system then some thought should be given as to future follow-up - especially if your licensing period extends beyond the 1 year mark. Your key contact today may be different come renewal time. In addition to your key contact request that companies key email address as it does help to know that you could also possibly communicate renewal follow-ups to a general company email contact such as support@, or info@123company.com instead of being reliant on your key contact alone (i.e. john_smith@123company.com) who may not be in that position a year (or 2, or 3) from now. " Comment " - The Comment field is the most important area on the licence form. Over time you'll have a better feel for what pertinent information to include and what can be left out based on the individual client and the licensing term. - Longer licensing term, possibly more detailed, license specific information. When its all said and done, accurate and complete licensing information is paramount. Management of; activation codes, license key information ( ".lic" files), user name and passwords are all critical - especially over the long term. - Higher value/maintenance clients, possibly more detailed, company specific information. People and contacts can change which can make it harder to push that renewal through - especially if your key contact has moved on and is no longer there. Same goes with size of licensing - the larger the client the higher the change that they'll need to purchase more licensing to accommodate growth in addition to their renewal. It pays to know how they're setup; hardware, manpower and LAN health. - Smaller clients, possibly more sales specific information Single users and small/home user groups are always looking for advice. Not like the big guys aren't, but the home user has a unique relationship and is reliant on their local neighbourhood PC guru for direction - that's probably you. Keep track of what theyre using and what they paid, price points and specials. **REFER TO YOUR MYREG DEMO ACCOUNT FOR IDEAS WHEN FILLING OUT A NEW LICENSE REGISTRATION FORM** Once all license registration details have been finalized, click "Save" to add the new license and set your reminder. *If you're in editing an existing licence, clicking Save will commit any changes made and take you back out to the main Registered Licenses panel. (fig.2b) **The Larger Opportunity** - as discussed in "Beyond the Renewal ..." found in the About MYREG area. MYREG may have been developed with a specific purpose in mind, but it does allow for a broader range opportunity. Most every "licensed" software product or service is sold in tandem with other hardware, and/or service/maintenance contracts, etc... MYREG offers that "renewed" foot-in-the-door not only to manage your renewal revenue, but to also further additional offers and opportunities you may have for your clientele. From here it comes down to preference on the level of detail you enter for that license. " Are you entering license details for a 30 day trial you've setup for a single user or business? " Did you sell 3 or less licenses to a small group or family? " Or did you just setup and deploy a larger SMB/Corporate license package for a higher maintenance client? In each case your level of detail may vary. Main point being when it comes time to renew this license 1,2, or 3years later, Or finalize your sale that next month you want to be sure you have both your client details and licensing information quickly and easily accessible at the appropriate time. Trial or Custom licensing - Followup MYREG offers a great way to follow with and track short and long term software product trials. With the variety of software trials going beyond the 30-90 day trial period MYREG allows you to set a custom date notification depending on that specific trial expiry. By clicking on the Calendar button(fig.2b) you'll be able to set a follow-up date of your choosing. As part of the standard notifications process the "E-mail Customer Renewal" option will be default selected to "yes". Similarly, each new licence entered will remain in Small Package or Single Client Licensing Fig.2 below shows a completed licence registration and renewal:
